Who we are
This policy explains how YHRD Studio Sdn Bhd (“YHRD”, “we”, “us”) handles personal information you share when contacting us, including through our website, email and business WhatsApp accounts. It also covers the YHRD Messaging app and our internal WhatsApp inbox.
Information we receive
We receive the information you choose to send, such as your name, email address, phone number, enquiry, project details, messages and files. WhatsApp also supplies your profile name, WhatsApp number, message identifiers, timestamps and information about message types. Our inbox stores incoming message content and associated metadata; for attachments, it stores the metadata and any caption supplied, rather than automatically downloading the attachment. Hosting and communication providers may also process technical information needed to deliver and secure their services.
How we use information
We use this information to respond to enquiries, prepare proposals, provide and coordinate our services, maintain relevant business records, and protect our systems. Providing information is voluntary, but without the contact or project details needed for an enquiry we may be unable to respond or provide the requested service. Please avoid sending passwords, payment-card details or unnecessary sensitive information.
Service providers and access
Relevant YHRD personnel and authorised service providers may access information where needed for these purposes. Our services include WhatsApp/Meta for messaging, Cloudflare for our inbox hosting and storage, and Webflow for website hosting. We may use OpenAI tools to help authorised personnel read or summarise messages; relevant message content is then processed by that service under its applicable terms and data controls. Information may also be disclosed where required by law or necessary to protect legal rights. We do not sell personal information.
International processing and security
Our providers may process information outside Malaysia. We use access controls and protected connections for our internal inbox and limit access to authorised users. Information that you send to our business can be read and retained by us; the privacy practices of WhatsApp and other services are governed by their own policies. No system can guarantee absolute security.
Retention
We retain information for as long as it is needed for the purposes described above, including ongoing enquiries, projects, business records and applicable legal obligations. Information no longer needed should be deleted or anonymised. The inbox has no automatic deletion schedule at present; retention and deletion are managed by YHRD. Provider backups and records may remain subject to their own retention schedules.
Access, correction and data deletion
You may request access to or correction of your information, ask us to stop using it where applicable, or request deletion of information held by YHRD or the YHRD Messaging app. Email timo@yhrd.work with the subject “Privacy request”, your WhatsApp number with country code or the email address used to contact us, and a brief description of your request. We may ask for limited information to verify that the request is yours. We will review it and explain any information we must retain for legal or legitimate business reasons. Deleting our records does not delete information held independently by WhatsApp or other providers.
Cookies and other services
Our website and internal inbox may use cookies or similar technology necessary for delivery, security and sign-in. Other websites or services linked from our site have their own privacy policies. This page does not describe those providers’ practices.
